HSRMS Document Identification and Control Standard

Purpose

The Hunter Storm Records Management System™ (HSRMS) provides a consistent framework for identifying, organizing, classifying, versioning, and tracing records across the Hunter Storm ecosystem.

The objective is straightforward: every controlled record should have a clear identity, an understandable status, and sufficient metadata to distinguish it from related records and prior versions.

HSRMS is designed to support a heterogeneous information environment that includes research, cybersecurity, artificial intelligence, quantum technologies, operational documentation, publications, and other designated records.

Scope

This standard applies to records explicitly designated for HSRMS control. It does not automatically apply to every page, post, image, song, profile, or marketing asset on HunterStorm.com.

The designation of a record for control should be deliberate. Ordinary navigation pages, the primary homepage, and personal or entertainment content do not receive a document-control label merely because they reside within the same ecosystem.

Core Control Principles

  1. Unique identity. Each controlled record should have a stable identifier that distinguishes it from other records.
  2. Authoritative metadata. Titles, identifiers, classifications, versions, and statuses should agree with the authoritative record.
  3. Traceability. A record should be identifiable and locatable through its associated metadata.
  4. Version clarity. Material revisions should be distinguishable from prior versions.
  5. Classification integrity. Internal classifications must follow the HSRMS classification rules and must not be confused with government security classifications.
  6. Controlled change. Changes to identifiers, classifications, or other controlled metadata should be made deliberately and traceably.
  7. Usability. Labels and control sheets should remain legible on supported screens and in printed output.
  8. Fail-safe behavior. Missing or invalid essential metadata should not produce a misleading identification label.

Document Identification Label

The compact HSRMS label presents a record’s identity and selected control metadata. Depending on the record, these fields may include:

  • HSRMS identifier
  • Official record title
  • Series
  • Internal classification
  • Version
  • Record status
  • Record type
  • Record date
  • Canonical URL

Only values supported by the authoritative record should be displayed. A blank or unknown field must not be filled with an invented value.

Records Control Sheet

The compact label is not a substitute for the full records control sheet. The control sheet provides the expanded record description, provenance, relationships, verification references, and lifecycle information when those fields are defined and populated.

The two layers serve different purposes: the label establishes immediate identity; the control sheet supports detailed administration and auditability.

Implementation Status

The initial label renderer can display metadata explicitly supplied by a designated page. That behavior alone does not establish database integration, identifier uniqueness, authoritative verification, or automated lifecycle management.

Those capabilities should be represented as implemented only after they have been built and validated against the authoritative HSRMS data source.

Governance

HSRMS documentation should distinguish among defined policy, implemented capability, verified record data, and planned functionality. A specification describes intended behavior; it is not evidence that every described control is already operational.

For implementation details, see the HSRMS Document Label Specification, HSRMS Records Control Sheet, HSRMS Metadata and Classification Rules, and HSRMS Implementation and Validation.
